How WAAC IT collects and uses personal data.
Who we are
Woods Accounting and Consulting Limited, trading as WAAC IT, of 4 Wood Street, Mansfield, Nottinghamshire NG18 1QA, company number 16082119, is the data controller for the personal data described here. Our ICO registration number is ZB864967. For anything on this page, email hello@waac.it.
What we collect
- Enquiry form: your name, company, work email, phone number, staff numbers, the service you're interested in and your message.
- Support tickets: contact details and the technical information needed to resolve your issue.
- Server logs: IP address, browser type and pages visited, kept for security and troubleshooting.
- Analytics: if you accept statistics cookies, Google Analytics records which pages you visit, roughly where you are, and what device and browser you use. It is switched off entirely until you consent, and you can withdraw that at any time using the privacy trigger on the page.
- Enquiry log: a copy of each form submission is written to a private log file so that nothing is lost if email delivery fails. Entries are deleted automatically after 90 days.
Why we use it
We use enquiry details to reply to you and, where you become a client, to deliver the services we've agreed. Our lawful basis is your consent for enquiries, and performance of a contract for client work. Server logs are processed under legitimate interests in keeping the site secure. Analytics are processed on the basis of your consent alone, and nothing is collected if you decline.
Who we share it with
We don't sell personal data and we don't send marketing to enquirers. Data is shared only with the suppliers who run our systems: [hosting provider] for the website, SMTP2GO for sending email from the enquiry form, Cookiebot (Usercentrics A/S) for cookie consent, Google (Google Analytics) for website statistics where you have consented, and [ticketing system] for support requests. Each operates under a written processing agreement, and SMTP2GO processes data in [region].
How long we keep it
Enquiries that don't become clients are deleted after 12 months. Client records are kept for the life of the contract plus six years for tax and legal purposes. Server logs are kept for 90 days.
Your rights
You can ask for a copy of your data, correct it, have it deleted, restrict or object to its use, or withdraw consent at any time. Email hello@waac.it and we'll respond within one month. If you're unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
